Distinguish repeated use from continuous use
Explain which days and hours the facilities support the property, including staff activity between public occasions. Describe anticipated busy dates and closures. This helps the service discussion reflect the operating calendar rather than treating every week of the season as identical.
Keep access and collection under one arrangement
Identify who can admit the rental team when the venue is closed and who reports schedule changes. Agree the period, supplies and cleaning, then arrange removal before seasonal staff leave or gates are secured. Discuss a future return separately from the current booking.
Separate quiet days from a full closure
If a property is used on selected dates, give that pattern to the rental contact. Discuss whether facilities stay in place between uses and how access and supplies will be managed while the site is quiet. A seasonal label alone does not establish a service frequency or an automatic renewal.
Outline the changing use pattern
- Opening dates and periods when no users are expected
- Who checks the equipment before activity resumes
- Access and the planned end-of-season collection
